Air Partner, a trusted provider of private aviation solutions as well as Cargo and time critical logistics for 60 years, is seeking a Vendor Account & Billing Executive to support the UK Cargo team. Based in Crawley, close to Gatwick airport, this role will report to the Head of Cargo, and will provide vital administrative support including but not limited to: CRM financial data management (updating financial data in a timely manner) vendor management (processing purchase invoices / processing inbound Statements of Accounts) / client billing (client facing – sending sales invoices, account statements and follow-up).
The ideal candidate will thrive working in a fast-paced environment and must have proven experience in administering financial data, as well as being able to proactively communicate with internal colleagues (both accounting and operational) as well as external vendors + customers.

Full time equivalent salary is £32,000 for 37.5 hours per week, but we might consider part time hours of no less then 30 hours per week. Salary for less hours will of course be pro-rata. We do need the successful candidate to spread their hours across 5 days a week however, Monday to Friday.
Some, but limited opportunity for flexible working, so a desire to be mostly office based, especially when training, is essential.
You will:
· Ensure enquiries and bookings are correctly entered into CRM (Microsoft Dynamics 365 – D365) system and manage on-going trip changes within the system (i.e. price changes, schedule changes, supplier adjustments, etc.)
· Adjust accrual entries with actual pricing in D365
· Approve client and vendor invoices, demonstrating attention to detail, and ensuring payments are received
· Chasing vendor invoices and managing timely payments, working closely with the Accounts team
· Report back on the accuracy of gross profit earnings per job
· Verify vendor bank details, ensuring all payments are made on time
· Monitor customer receivables reports to ensure credit customers are within terms
· Manage digital trip files, ensuring all necessary documentation is included and files are ready for annual audits
· Maintain full compliance awareness against fraud, following company procedures and protocols
· Work closely with the App-Team to make improvements to D365
· Ensure lead, client and vendor data is accurate in the CRM - this includes, but is not limited to, contact information, billing details and segmentation
· Work with the sales team and the Air Partner Compliance department to ensure aircraft operator paperwork is up to date
· On-going data cleansing, as needed
What we are looking for:
You will thrive in high-pressured, time sensitive environments, with a high-volumes of transactions and have an ability to instil discipline with suppliers and the team on administrative procedures. You will build and maintain close working relationships with the Cargo account Executives to ensure good communication streams. You will also:
· Have previous experience within financial Administration – this is mandatory
· Have strong CRM administration and data management experience (ideally using Dynamics 365)
· Be a self-starter with a strong work ethic
· Have proven and excellent attention to detail and an ability to multi-task within a fast-paced environment
· Have the ability to prioritize and deal with changing workloads
· Have good problem solving skills
· Have excellent oral and written communication skills, with the ability to effectively communicate with team members at all levels and build lasting relationships
· Be IT literate and proficient with Microsoft Office Suite
· Have the ability to understand Air Partner products and services, as well as internal processes
· Be a team player with a collaborative approach to working
· Be flexible and willing to take on additional responsibilities and go the extra mile as required
If you have previous experience performing finance and CRM administration for a Cargo or air charter company, that would be a huge benefit, this this is not essential.
